When an employees changes employment type it's important to review their leave entitlements, as these may not change automatically.
To view the employee's current entitlement's go to: Employees > Payroll Setup > Set up pay
Change the entitlement set up
To change the entitlement, edit the current entitlement value for both Annual and Personal leave in the "Annual Hours" box and save.
If the employee is moving to or from time sheet based entitlement, this will need to be changed by selected the appropriate option in the "Calculation" drop down, and the rate or accrual added.
Add Leave to an employee's record
To add entitlements - select the "Add Leave" button. Make the appropriate selections in the "Leave Type" and "calculation" drop downs and if applicable add the annual hours amount. Once all leave types have been added, select save
Remove Leave from an employee's record
To delete the entitlements - select the 'bin icon" at the end of each leave type. If required apply an adjustment to their balances or note the balance at the date of change if being paid out.
The final step for any of the above changes
All Changes will result in the requirement to submit the changes, once the "save" button is selected this will bring up the change management screen. Within this screen set the effective date of the change and submit. If you are deleting all entitlements you will need to make all as "ready to submit" before the change can be submitted fully.
Once the change management has been submitted, review the employees Leave balances to confirm the change has been applied.
Note: if the employee is having their leave deleted, set the effective date as their start date, this may result in 1 day of accrual being displayed. If the accrual is present, to have the leave details page cleared of the accrual detail, send a request through to support and we will action for you.
If moving from an employment type that accrues leave set the start date of their change to contractor/casual. You can then adjust the leave to a 0.00 hours balance.
