Import timesheet information easily into Flare all in one go using FlareConnect.
Access to this area requires certain permissions. If you do not have access to this area, and have the permission to edit security settings follow the steps here to enable it.
1. From the Menu, select FlareConnect, then Payroll Import.
2. Select Timesheet under "data to import"
3. Download the template by selecting "Get import template"
4.Open the downloaded import template and complete the mandatory fields.
Please take note of the following fields which ARE MANDATORY.
Employee ID - This is the Employee ID and can be found under, Employees>Employee Details and is called Flare ID (Note this is often not the same as Employee number). If you know how to complete batch export of your employees details, you will be able to get a list of your employee ID's from Flare. If you are unsure how to batch export click here.
Dates - Both Start Date and End Date are mandatory fields. Dates should be in the format of DD.MM.YYYY (import will fail if not in the right format).
Paycode - Flare will provide the Pay Code once Wage Types have been configured.
Hours - This the quantity of hours to apply to this employee at their paycode.
Costed Amount - This is provided by the time and attendance system being when exporting timesheet data. The costed amount will allocate the correct amount that an employee should be paid for each timesheet record.
The following fields are NOT mandatory but recommend.
Employee Name - This will relate back to the employee ID.
Paycode Description - This should relate back to the Paycode field.
Pay Rate - The hourly $ rate which the employee is paid at.
Cost Centre - This should be stored by the time and attendance system and should be provided to Flare. This field inputs should then be mapped to the Flare cost centres.
Department - Business department where the relevant Cost Centre is associated with.
Legal Entity - Relevant legal entity which this timesheet data is being applied to.
Job - Specific job which the employee performs.
Standard timesheet import functionality can ignore the following fields, as they relate to an integration with a specific time and attendance system. As part of your implementation you will be informed if these fields are pertinent to your integration:
-Local Public Holiday
-HD PS Group
-HD PS Level
5. Once completed, save and then upload the spreadsheet to Flare by selecting the button below.
